When considering our services for your conference, the packages can be combined in different ways:

Basic meeting A – package A

We provide the service of abstract & programme management. The organizer is responsible for the registration and the local organization as well as for the financial management of the meeting. After the conference, we charge a flat rate for our services as mentioned in package A.

Basic meeting B – package B

We provide the service of registration management. The participants are invoiced the registration fee by Copernicus Meetings but on behalf of the organizer. We transfer the gross amount afterwards. The VAT taxation has to be declared by the organizer, who has to be fiscally registered in the country where the meeting takes place. After the conference, we charge a flat rate for our services as mentioned in package B.

Extended meeting – packages A+B

We provide abstract & programme management as well as registration management services as described above.

Complete meeting – packages A+B+C

We provide all services for the conference – abstract & programme management, registration management, as well as local organizing. We negotiate the proposals and contracts with the congress centre and organize everything from technical equipment to catering. We invoice all participants, exhibitors, and others in the name of the organizer, collect the registration fees, and transfer the gross amount. The VAT taxation has to be declared by the organizer, who has to be fiscally registered in the country where the meeting takes place. Afterwards, we charge the flat rates mentioned in package A, package B, and package C.

Additionally, we could organize the conference under a licence. We would then register fiscally in the country where the conference takes place and declare the VAT taxation. This is especially practical for associations organizing events in various countries.
