Guidelines for Authors (Poster)

Time Schedule for Poster Presentations

After 19:30 posters are removed by the conference staff and stored, day-by-day, with their poster numbers attached in special boxes in the poster area (Taken-Down-Posters). During the poster sessions scheduled in the programme book the authors are kindly asked to stand near their posters for interview and discussion (Author in Attendance).

It is strictly prohibited to take photos and/or copies from laptops and poster boards of any scientific material without the expressed permission by the authors.

Poster Presentations and Poster Sessions

Poster presentations are organized in poster sessions, and poster sessions belonging thematically to the same overall topic are organized in separate poster areas. Each session is scheduled on a specific day with a specific time. Please see the "Meeting Programme" for an individual session in detail. Thereby, each session has a "Display Time" (determining the actual date of display) as well as an "Authors in Attendance Time" (determining the actual time of presentation).

Poster Sessions are scheduled in Halls A, X, Y and D of the congress centre.

Display Time

The display time is the time for the actual display of all posters of a session or of a group of sessions. The general display time is from 08:00-19:30 for each day. Authors are kindly asked to put up their posters on the day where the specific session is scheduled as soon as possible (08:00-09:00, but not in the evening before the scheduled display day) in order to enable the conference participants to view their posters at any time within the display time, and to take them down between 19:00-19:30. After 19:30 the remaining posters will be taken down by the conference staff, and they will be marked by the day and their poster number and stored in the poster area in corresponding boxes marked "Taken Down Posters".

Authors in Attendance Time(s)

The "Authors in Attendance Time(s)" is (are) the time(s) when the respective authors of a poster session must be present at their display for presentation. The "Authors in Attendance Time(s)" of each poster session is/are given in the programme.

Poster Boards & Laptop/Mac Presentation

In general, for each poster paper one numbered poster board in landscape format is reserved with a clear dimension of 197 cm (width) x 100 cm (height). All the material necessary for attaching the poster to the poster board is available at the "Facility Desks" in the respective poster area. In addition, there are assistants to help authors in putting up or in taking down their posters. For each poster board there is a desk either to its right or to its left for placing the private laptop/Mac for additional PowerPoint or video presentations. In the poster areas Hall A and Halls X/Y there are European-type power sockets for the laptops/Macs.

The number of each poster paper and of its corresponding poster board is given in the appropriate session programme. The first part of this number indicates the poster area (A for Hall A, XY for Halls X/Y and D for Hall D) and the second part the running number of the appropriate poster board in that area. The area Halls X/Y is located on the Blue Level (Basement) as a pavilion connected to the congress center, and the area Hall A is located on the Red Level (2nd Floor) next to the lecture rooms 23-29. Hall D can be found on the Blue Level (Basement) and is also used as lecture room.

The poster board numbers (yellow-black) are fastened at the poster board desk and in smaller size (black-and-white) in the support of the poster board next to the desk. In this way the exact association of a board with its desk is guaranteed. Please, click here for a detailed view.

Power-Up Facilities for Laptops/Macs

For charging their laptops/Macs participants may use all areas where open power-sockets are available, such as in the Lan and WLan as well as in the poster areas. Near the post office on the Yellow Level (Ground Floor) there is a cupboard with separate compartments for charging laptops which can be locked.

Poster Preparation

Place the title of your paper prominently at the top of the poster board to allow viewers to identify your paper easily. Indicate the title and the author(s) names of your paper. Highlight the author's name and address information, in case the viewer is interested in contacting him/her for more information.

Prepare all diagrams or charts neatly and legibly beforehand, in a size sufficient to be read at a distance of 1.5-2.0 metres. The type should be at least 2.5 cm high. Use creativity by using different font sizes and styles, perhaps even colour and double-space all text. Use different colours or textures for each line or bars contained in your graph or chart.

Organize the paper on the posterboard so that it is clear, orderly, and self explanatory. You have complete freedom. The presentation must cover the same material as the abstract. Label different elements as 1, 2, 3, or A, B, C. This will make it easier for a viewer to follow your display.

Include the background of your research, followed by results and conclusions. A successful poster presentation depends on how well you convey the information to an interested audience.

Oral Summaries of Posters

Authors of poster papers should be prepared to provide ad hoc a summary of their poster presentation during their oral sessions in case a gap should occur in the time schedule and no stand by paper should be available to fill in. In other cases the convener may have foreseen the presentation of poster summaries during the oral session. Please, check the programme and contact the "Guidelines for Oral Presentations".

Audio Visual Equipment

Audio-visual equipment can be made available in the poster areas. Authors should order these with the "Notice of Schedule", i.e., once the final status of the presentations have been decided upon by the Programme Committee. Authors will be charged for any additional equipment.

Young Scientist Outstanding Poster Paper

Several Divisions of the EGU have established the "Young Scientist Outstanding Poster Paper (YSOPP) Award" to motivate the younger participants in the assembly to present a poster paper.

Students wishing to participate in this contest should indicate so when receiving their "Notice of schedule". Please check the YSOPP Guidelines for further information.
